Please note: We currently operate on a pre-booked basis and do not provide local journeys of less than 10 miles.
Terms of Service
These Terms & Conditions govern the agreement between ASA Transport and its customers. By making a booking with us, you confirm that you have read, understood and accepted these Terms & Conditions.
All customers making a booking are deemed to be at least 18 years of age and legally capable of entering into a binding contract.
When making a reservation, you are responsible for ensuring that all information provided is complete, accurate and up to date. This includes, where applicable, passenger details, contact information, collection and destination addresses, flight details and any other information required to facilitate your journey. ASA Transport cannot be held responsible for delays, additional charges or service disruptions resulting from incorrect or incomplete booking information.
Bookings
Bookings can be made by telephone, WhatsApp or through our online booking system. A booking is only considered confirmed once you have received a confirmation from ASA Transport via email, WhatsApp or another agreed method of communication.
Any amendments to a confirmed booking, including changes to the collection or destination address, travel date or time, route, vehicle type, or any other details that differ from the original quotation, may be subject to additional charges.
Customers are responsible for selecting a vehicle that is suitable for the number of passengers and the amount of luggage travelling. All passengers must travel within the legal seating capacity of the vehicle, and luggage must fit safely within the designated luggage compartment. Luggage must not be carried within the passenger cabin were doing so could compromise passenger safety or exceed the vehicle's capacity. If an unsuitable vehicle has been booked, ASA Transport reserves the right to provide a more appropriate vehicle where available, and any additional costs incurred will be payable by the customer. If you are unsure which vehicle best suits your requirements, we recommend contacting our team before confirming your booking.
It is the customer's responsibility to provide accurate and up-to-date booking information. This includes, but is not limited to, the passenger's name, contact telephone number, collection address, destination, airport name, airline, flight number, scheduled landing time, and any other relevant travel details. ASA Transport cannot accept responsibility for delays, additional charges or failed collections resulting from incorrect or incomplete information supplied by the customer.
For airport and other scheduled collections, our driver will make reasonable efforts to contact the passenger using the contact details provided. If the passenger cannot be contacted within the allocated waiting period and no communication is received from the passenger, the booking may be classified as a No Show, and the driver may leave the collection point. Should the passenger make contact after the waiting period has expired, any further collection will be subject to vehicle availability and may be treated as a new booking, with the applicable fare becoming payable.
Although every effort is made to ensure that quotations and fares displayed through our website or online booking system are accurate, pricing errors may occasionally occur. ASA Transport reserves the right to amend or cancel any booking where an obvious pricing or system error has resulted in an incorrect quotation. Where possible, customers will be contacted and offered the opportunity to accept the corrected fare before the booking is confirmed.
All quotations are based on the information provided at the time of booking. Additional charges may apply where the journey includes parking fees, toll roads, congestion charges, Ultra Low Emission Zone (ULEZ) charges, Clean Air Zone (CAZ) charges, or any similar road user charges. Any such costs will be added to the final fare where applicable.
Promotional offers, discounts and special pricing are available for limited periods only and may be withdrawn or amended without prior notice. Unless otherwise stated, all prices displayed by ASA Transport apply to journeys within the United Kingdom.
To help maintain the highest standards of customer service, training and quality assurance, telephone calls with ASA Transport may be recorded and monitored. Any recordings are handled securely, treated as confidential, and processed in accordance with applicable UK data protection and privacy legislation.
Unconfirmed Bookings
Submitting a booking request through our website does not automatically guarantee a confirmed reservation. All bookings are subject to vehicle availability and operational approval by ASA Transport.
Once your booking request has been reviewed, we aim to send a booking confirmation and payment invoice within 45 minutes – 1 hour. A booking should only be considered confirmed once you have received confirmation from ASA Transport.
Responsibility for Unconfirmed Bookings
ASA Transport cannot accept responsibility for any travel arrangements made before a booking has been formally confirmed.
If you do not receive a booking confirmation and invoice from us, your reservation should be regarded as unconfirmed. We recommend contacting our team if you have not received confirmation within the expected timeframe.
Online Fare Quotations
Prices generated through our online booking system are provided as estimates based on the information supplied at the time of booking.
While we make every effort to ensure all quotations are accurate, occasional pricing or system errors may occur. If the quoted fare differs from the correct fare, ASA Transport reserves the right to amend the price before confirming the booking. Where this happens, you will be notified of the revised fare and given the opportunity to accept or decline the booking before payment is processed.
Payments
A 50% deposit is required to secure all bookings, unless otherwise agreed in writing by ASA Transport.
Payments may be made by debit card, credit card, bank transfer, Stripe, PayPal or any other payment method accepted by ASA Transport.
Payment must be received and cleared before the scheduled journey date. ASA Transport reserves the right to cancel or refuse any booking where payment has not been received within the required timeframe.
Cancellation Policy
Bookings cancelled more than 24 hours before the scheduled collection time are eligible for a full refund.
Bookings cancelled between 12 and 24 hours before the scheduled collection time will incur a cancellation charge of 50% of the total booking value.
Bookings cancelled less than 12 hours before the scheduled collection time, or where the passenger fails to attend the agreed collection point without prior notice, will be charged 100% of the booking value, and no refund will be issued.
ASA Transport reserves the right to deduct any applicable administration or processing fees where cancellation results in costs already incurred.
Waiting Time
For standard address collections, a complimentary waiting period of 10–15 minutes is included from the scheduled collection time.
For airport and seaport collections, a complimentary waiting period of 45 minutes is included from the actual flight or vessel arrival time, unless otherwise agreed.
If the passenger cannot be contacted within the complimentary waiting period, the booking may be treated as a No Show, and the driver may leave the collection point.
Any waiting time beyond the complimentary allowance will be charged at £0.40 per minute. The applicable waiting charges will be added to the final fare.
Late Pick-Ups
ASA Transport uses a live dispatch system that records each stage of every booking, including when the driver is end route, has arrived, the passenger is on board, and the journey has been completed.
If the driver departs at the appropriate time based on the scheduled collection time or live flight arrival information, ASA Transport cannot be held responsible for delays caused by circumstances beyond our reasonable control. These may include, but are not limited to, traffic congestion, road closures, accidents, severe weather, vehicle breakdowns, or other unforeseen incidents. In such circumstances, compensation will not be payable.
However, where our records demonstrate that a delay has occurred due solely to negligence on the part of ASA Transport or the assigned driver, we will review the circumstances and, where appropriate, provide compensation at our discretion in accordance with our customer service policy.
Meet & Greet Service
Meet & Greet is available upon request for airport collections.
Where this service is booked, your driver will enter the airport terminal after the agreed complimentary waiting period and will meet you in the arrivals hall displaying a name board for easy identification.
Please note that airport parking charges incurred as part of the Meet & Greet service are payable by the customer.
A Meet & Greet fee of £10 applies in addition to any applicable parking charges and waiting time charges beyond the complimentary allowance.
Passenger Responsibilities
Passengers are responsible for behaving in a safe and respectful manner throughout the journey.
All passengers must wear a seat belt where legally required and should remain seated until the vehicle has come to a complete stop. ASA Transport accepts no liability for injuries resulting from a passenger's failure to follow safety instructions or comply with UK road safety legislation.
Passengers are responsible for ensuring that any personal belongings carried during the journey are adequately insured where necessary. ASA Transport accepts no responsibility for loss, theft or damage to personal belongings unless caused by proven negligence on our part.
Under no circumstances will our drivers carry more passengers than the maximum number permitted by the vehicle's licence and applicable road traffic legislation.
If a passenger soils the vehicle through sickness, food, drink or any other cause requiring professional cleaning, a valeting and cleaning charge of £150 may be applied. Additional charges may also be incurred where the vehicle is taken out of service as a result.
Customers will also be responsible for the reasonable cost of repairing any damage caused to the interior or exterior of the vehicle during the journey, together with any associated losses resulting from the vehicle being unavailable for service.
Adults travelling with children are responsible for ensuring that children are properly supervised and secured using appropriate seat belts or child restraints in accordance with current UK legislation.
Vehicle & Luggage Capacity
To ensure passenger comfort and safety, customers should book a vehicle appropriate for both the number of passengers and the quantity of luggage travelling.
Our standard vehicle capacities are as follows:
Saloon
- Up to 4 passengers
- Maximum of 2 large suitcases (approximately 23kg each)
- Maximum of 2 cabin bags
MPV
- Up to 6 passengers with minimal luggage
- Or up to 4 passengers with 4 large suitcases and 4 cabin bags
Minibus
- Up to 8 passengers
- Maximum of 10 large suitcases
- Maximum of 5 cabin bags
Wheelchair Accessible Vehicles (WAV)
- Vehicles available with rear tail lift access for wheelchair loading and unloading
- Tail lifts are capable of safely supporting loads up to 3.5 tonnes
- Vehicles are available with capacity to transport up to 3 wheelchairs simultaneously (subject to availability and prior arrangement)

Luggage Assistance & Porter Service
ASA Transport drivers are happy to provide reasonable assistance with loading and unloading luggage into and out of the vehicle. However, drivers are not solely responsible for the loading, unloading, carrying, or handling of passengers’ luggage.
Passengers remain responsible for ensuring their luggage is safely ready for transportation and that all items are removed from the vehicle at the end of the journey.
If passengers are travelling with a large amount of luggage or require additional assistance beyond normal driver support, this must be advised to ASA Transport at the time of booking. Failure to notify us in advance may result in delays, additional charges, or the service not being available.
A porter service fee applies where dedicated luggage assistance is required:
- Loading assistance: £10 additional fee
- Unloading assistance: £10 additional fee
ASA Transport accepts no responsibility for damage to luggage resulting from items being incorrectly packed, overloaded, unsuitable for transport, or where passengers have not followed the luggage requirements provided at the time of booking. ASA Transport reserves the right to decline assistance with luggage that is excessively heavy, unsafe to handle, or may pose a risk of injury.
Child Seat Policy
The safety of young passengers is extremely important to ASA Transport.
Child Seats Supplied by ASA Transport
Child seats may be available upon request and are subject to availability.
A charge of £10 per journey (£20 for return) applies for each child seat supplied.
As availability is limited, we recommend requesting child seats at the time of booking. While every effort will be made to accommodate requests, availability cannot be guaranteed until confirmed by ASA Transport.
Customer-Supplied Child Seats
Customers are welcome to provide their own child seats.
Where requested, ASA Transport can arrange for customer-owned child seats to be retained between an outbound and return airport journey. A storage and handling fee of £10 will be applied.
Infant Seats
It is the responsibility of the accompanying adult to ensure infants travel in an appropriate child restraint where required by UK law.
If you intend to travel with an infant, please notify ASA Transport when making your booking so that suitable arrangements can be discussed.
Journey
ASA Transport is committed to providing a reliable, punctual and professional service. While every reasonable effort is made to ensure journeys are completed on time, we cannot accept liability for delays or disruptions caused by circumstances beyond our reasonable control.
Such circumstances may include, but are not limited to:
- Heavy traffic or road closures
- Road traffic accidents
- Severe weather conditions
- Flooding or natural disasters
- Vehicle breakdowns or tyre punctures
- Flight delays or cancellations
- Public events or emergency incidents
- Failures of communication or navigation systems
- Any other unforeseen event beyond our reasonable control
Where a vehicle becomes unavailable due to a mechanical issue or breakdown, ASA Transport will make every reasonable effort to provide a suitable replacement vehicle as quickly as possible. However, we cannot guarantee the arrival time of any replacement vehicle.
If we become aware of any event likely to affect your booking before your scheduled journey, we will contact you as soon as reasonably practicable to keep you informed.
During periods of exceptionally high demand, ASA Transport may utilise trusted licensed subcontractors to fulfil bookings. All subcontracted journeys are carried out by appropriately licensed private hire operators and drivers.
Health & Safety
The safety of our passengers and drivers is our highest priority.
All ASA Transport drivers are professionally licensed and trained to operate safely in accordance with UK road traffic legislation and applicable licensing requirements.
ASA Transport reserves the right to refuse or terminate a journey if a passenger:
- Is under the influence of alcohol or drugs to the extent that they pose a risk to themselves, the driver or others.
- Behaves in a violent, abusive, threatening or inappropriate manner.
- Causes or is likely to cause damage to the vehicle.
- Places the safety or comfort of others at risk.
Smoking and vaping are strictly prohibited in all ASA Transport vehicles.
We operate a zero tolerance policy towards physical abuse, verbal abuse, threatening behaviour or harassment directed towards our drivers or staff.
Driver & Vehicle Standards
All ASA Transport drivers are fully licensed by the relevant Local Authority and hold valid private hire licences in accordance with UK legislation.
Where required by licensing regulations, our drivers have undergone Disclosure and Barring Service (DBS) checks, medical assessments and licensing requirements.
Our vehicles are regularly inspected, maintained and serviced to ensure they remain safe, reliable and compliant with all applicable licensing and roadworthiness standards.
ASA Transport operates exclusively on a pre-booked basis. By making a booking through our website, telephone or any other booking channel, you confirm that you have read and accepted these Terms & Conditions. If you do not agree with these Terms & Conditions, you should not proceed with your booking.
Fraud Prevention
To protect both our customers and our business, ASA Transport reserves the right to refuse, suspend or cancel any booking where fraudulent or suspicious activity is reasonably suspected.
Payments should only be made using a payment method that the customer is authorised to use.
We may carry out additional verification checks before confirming a booking. If satisfactory verification cannot be obtained, we reserve the right to decline the booking without liability.
Examples of activity that may result in cancellation include, but are not limited to:
- Multiple unsuccessful or inconsistent payment attempts.
- Payment information that appears fraudulent or unauthorised.
- False, incomplete or misleading customer details.
- Failure to provide reasonable identification or booking verification when requested.
- Payment disputes or chargeback claims relating to unauthorised transactions.
- Inability to verify essential booking information, including passenger details, collection address or destination.
Where fraudulent activity is suspected, ASA Transport reserves the right to report the matter to the relevant financial institution or appropriate authorities.
Office Visits
ASA Transport operates primarily through online and telephone bookings.
To ensure the safety of our staff and the efficient operation of our business, visits to our office are by appointment only.
If you need to visit us in person, please contact us in advance to arrange an appointment.
Complaints
We are committed to delivering the highest standards of customer service. If you are dissatisfied with any aspect of your experience, we encourage you to contact us so that we can investigate the matter promptly.
Complaints should preferably be submitted within 24 hours of the completed journey by emailing info@asatransport.co.uk
We aim to acknowledge your complaint promptly and, where possible, provide a full response within 72 hours, although more complex matters may require additional investigation.
